What happens when the person who knows everything takes leave

You already know who they are

Every business has one. Sometimes it is the office manager. Sometimes it is the longest-serving supervisor. Occasionally it is the owner's partner, doing the books at night without a job title.

They are the person who knows which customer gets the special pricing, which supplier is reliable, which job had a problem last year, and where everything is written down.

They are usually excellent. That is exactly what makes it dangerous.

The two ways you find out

The good way: they take four weeks off, everything gets harder, and you learn something about your business while they are on a beach.

The bad way: they resign, or they get sick, and you learn the same lesson with no notice and no handover.

Most owners we meet have had a version of the good way and quietly promised themselves they would fix it. Very few have.

What is actually being carried

It is worth being specific, because "they know everything" is too vague to act on. What that person usually holds is:

Only the first two are really about information. The rest is about how the business thinks — and that is the part that cannot be written down in an afternoon.

The mistake most owners make

The instinct is to ask them to document everything. It almost never works. Documenting is a large, boring, open-ended task assigned to your busiest person, and it always loses to real work.

What does work is smaller and more specific: stop new knowledge going into their head only. Exceptions get recorded when they are agreed, not remembered. Job history gets written where anyone can find it, at the time. Supplier terms live somewhere other than a phone.

The existing backlog in their head thins out on its own once it stops growing.

The kind thing to do

This is usually framed as a business risk, and it is one. But it is worth saying the other part out loud.

Being the person who knows everything is a heavy thing to carry. It means you cannot really switch off on holidays, and every question comes to you. Most people in that position are not protecting it — they are stuck with it.

Taking some of it off them is not just risk management. It is a genuinely decent thing to do for someone who has been holding your business together.
